ABOUT THE ROLE
The Sales Operations Manager provides high-level administrative, operational, and strategic support to the commercial leadership team. This hybrid role is ideal for a highly organized, proactive professional who can balance executive-level administrative responsibilities with hands-on sales operations work that enhances efficiency, visibility, and performance across the commercial organization.
The ideal candidate is a strong communicator, a master of organization, and a self-starter who thrives in fast-paced environments and enjoys building processes from the ground up.
KEY RESPONSIBILITIES
- Provide daily administrative support for the Chief Commercial Officer and broader Commercial Leadership Team.
- Manage complex calendars, travel arrangements, expense reports, and deadlines.
- Proactively communicate needs, risks, and updates, ensuring leadership stays informed, prepared, and ahead of operational demands.
- Prepare meeting agendas, presentations, minutes, working documents, and executive communication.
- Organize and coordinate internal meetings, sales meetings, surgeon training events, and other external meeting engagements.
- Maintain organized office filing systems including shared drives, databases, and document version control.
- Create presentations, reports, and communication materials using Microsoft Office Suite.
- Coordinate onboarding materials and field compliance requirements including credentialing support.
- Handle confidential records and sensitive information with discretion and professionalism.
- Support service contract coordination and internal event-based vendor communications.
- Own CRM administration (HubSpot), including reporting, hygiene, forecasting tools, and user support.
- Produce dashboards, analytics, pipeline reporting, and forecasting for commercial leadership.
- Support lead generation, qualification workflows, inside sales coordination, and cross-functional collaboration.
- Ensure consistent data integrity and adoption across CRM and engagement platforms.
- Review, redline, and manage contracts including pricing agreements, distribution contracts, SOWs, and vendor documents.
- Maintain organized contract records and support management of pricing files, quotes, and consignment programs.
- Collaborate closely with legal, finance, supply chain, and commercial leadership to ensure accuracy, compliance, and timely contract execution.
- Utilize contract management tools (e.g., Ironclad) and CRM integrations to track status, renewals, and obligations.
- Develop, evaluate, and optimize sales processes to improve efficiency, consistency, and conversion.
- Support conference related planning activities including registrations, travel, and processing sponsorship related expenses.
- Manage Distributor Portal updates and distributor access both US and International
- Implement tools and documentation that streamline sales content management, contract approval workflows and various sales processes.
- Support product launches through operational planning, communication, and material distribution.
- Ensure field readiness through timely dissemination of sales collateral, pricing files, and product information, marketing resources.
QUALIFICATIONS
Required
- 4+ years in sales operations, commercial operations, executive administration, customer service, or a hybrid support role; medical device, spine, orthopedic, or healthcare tech experience strongly preferred.
- Strong CRM experience (Salesforce, HubSpot) and sales analytics/reporting skills.
- Exceptional organization, communication, and multitasking abilities.
- Experience supporting senior leaders or executive teams.
- Ability to work independently in fast-paced, ambiguous startup environments.
- Proficiency in Microsoft Office Suite.
Preferred
- Experience in medical devices or field/distributor sales environments.
- Understanding of medical device compliance, credentialing, and field inventory processes.
- Experience building processes and infrastructure in early-stage companies.
- Familiarity with Ironclad or other contract management systems.
